For membership and subscription charities

Know who's up to date with membership, and who has quietly lapsed

For synagogues, clubs and associations that invoice membership in Xero. See who's up to date, who's behind and who needs a reminder, all reconciled to your books.

Membership income shouldn't depend on one treasurer's spreadsheet

Subscriptions are the backbone of many small charities, but they're often managed by a part-time administrator or a volunteer treasurer with not enough evenings. Renewals slip, standing orders stop, and members who would happily renew simply haven't been asked.

  • No clear list of who is up to date and who is behind
  • Standing orders that stopped months ago
  • Members who lapsed without anyone noticing
  • Reminders that depend on one person remembering
  • Trustees asking how much membership income is really due

Illustrative example with sample data.

Simple enough for a volunteer, solid enough for your trustees

Who's up to date, at a glance

Each member's subscription for this period and previous ones side by side. You choose the period: annual, termly or monthly.

Spot who has lapsed

Put members into groups such as up to date, standing order, behind and lapsed, so you know exactly who to call and when.

Standing orders that stop

The standing order tracker shows each member's standing order month by month and highlights in red when it drops or stops.

Reminders that don't rely on memory

Set a date to follow up, assign it to a named person and get a daily or weekly email listing who to contact.

Shared between treasurer, office and trustees

Unlimited users, with notes and contact history on every member's page, so nothing is lost when roles change.

Reconciled to Xero automatically

Subscriptions raised and received in Xero flow into DonorChase every night. No double entry, no separate membership list to keep in step.

How it fits your year

  1. Raise subscriptions in Xero

Raise each member's subscription as an invoice when it falls due. Repeating invoices make annual or monthly renewals automatic.

  2. See who's behind

DonorChase shows who is up to date, who has partly contributed and who hasn't, grouped the way you choose.

  3. Follow up, personally

Call or message members at the right time, note what they said, and set the next reminder. Nothing is sent automatically.

Using DonorChase has eased the job of managing synagogue membership subscriptions – we can clearly see who is up to date and who needs reminders sent – with the ability to save contact details, this really simplifies our processes.

Gift Aid for synagogues and communities

Claim Gift Aid on your members' donations

Subscriptions that give members benefits in return usually can't carry Gift Aid, but donations and appeal gifts from members often can. DonorBoost, our Gift Aid claims software, matches donations in the bank to members, collects declarations online and prepares the claim for HMRC.

See your membership the way your treasurer wishes they could

Pricing starts at £500 a year for smaller organisations, with unlimited users and members.

Questions from membership charities

We only record subscriptions when the money arrives. Do we need to change?
DonorChase needs to know what's due so it can show what's outstanding, so subscriptions are raised as invoices in Xero. It's a healthy habit: your trustees can see the full membership income you expect and compare it with what actually arrives. If you'd rather your reports only show money received, run them on a cash basis.
Our treasurer is a volunteer. Is it easy to use?
Yes. It's a single screen of members with what's outstanding, notes and the next follow-up date. There's a help site, and support by email and phone is included.
Will it send reminders to our members automatically?
No. In membership organisations the personal touch matters, so DonorChase reminds your team who to contact and when. You decide how and when to get in touch.
Can we track appeals and memberships separately?
Yes. Multiple dashboards keep ongoing memberships separate from one-off appeals or campaigns, with each member's page showing their full history.
