Your Team and Users

Everything on this page is done by an administrator, except where it says otherwise. See who can do what.

Invite someone

  1. Open Settings → Users and click Invite.
  2. Enter their name, email and mobile number, and choose their Email Frequency for reminder emails.
  3. Tick Admin if they should manage users, dashboards, the Xero connection and billing.
  4. Tick Hide Xero Links if you'd rather they didn't see links through to your Xero records.
  5. Click Invite new team member.

They receive an email with a link to accept, which works for 24 hours. They'll be asked to confirm their details and choose a password. Until they accept, they show as Pending on the Users page, and you can click the envelope to send a new invitation.

If they already use DonorChase for another organisation, they keep their existing login and password.

Change or remove a user

On Settings → Users, click the pencil to change someone's details or their Admin setting, or the bin to remove them from your organisation. You can't remove yourself or change your own Admin setting, so ask another administrator.

Assign donors to team members

Each donor can have a Responsible Team Member, shown in the dashboard's Team Member column. It's who looks after that donor, and it's what Mine Only filters on.

Two level teams

A two level team suits organisations where some donors need someone more senior to step in, for example a governor taking over from a volunteer. Each donor can then have a Level 2 Team Member as well as a Responsible Team Member. Leave this off if one person looks after each donor.

  1. Open Settings → Manage Team and tick Two Level Team.
  2. Tick Level 1 and Level 2 for each person. Someone can be both.
  3. Click Save.

Only people ticked for a level are offered in that level's list on a donor. Then set each donor's Level 2 Team Member on their page, or for several at once from the dashboard.

Escalating a donor

On the donor's page, click Escalate, add a note if you'd like, and confirm. This can be done by the donor's Level 1 or Level 2 team member, or by an administrator. A note is saved as a comment so the reason stays on the donor's record.

When a donor is escalated:

To hand the donor back, click De-escalate on the same page. Removing a donor's Level 2 Team Member also de-escalates them.

On a two level team, Mine Only shows donors you're on at either level, whether or not they've been escalated.
